How to connect Calendly

Open integrations

Go to web.withallo.com and navigate to SettingsIntegrationsCalendly.

Connect Calendly

Click Connect Calendly. A window opens to Calendly’s sign-in page.

Authorize

Sign in if needed, then grant Allo access to your Calendly account.

Done

You’re redirected back to Allo. Allo reads your Calendly profile and event types, and your calendar appears in the connected list.

What your AI receptionist books

Calendly organizes your calendar around event types, the scheduling links you already use like “30 minute meeting” or “Intro call”, not open calendar slots. Once connected, your AI receptionist books into one of your existing event types. It never creates a new one. You can offer more than one event type on the same call, up to 20. Each one can carry a short note, for example “when the caller wants a demo”, that tells the agent when to use it. Without a note, the agent falls back to the event type’s title.
Always choose an event type in the agent’s calendar settings. Left unset, Allo books your calendar’s first event type by default, which may be the wrong meeting.

Who can connect and choose a calendar

Any team member can connect their own Calendly account. Once connected, it’s visible to the whole workspace as an option for any agent. Choosing which connected calendar an agent books into is more restricted. Admins and managers can assign any connected calendar to an agent, including a teammate’s, and configure its event types themselves. A regular team member can only assign their own calendar, or a teammate’s calendar once that teammate has already set up its event types. Allo blocks the pick otherwise, and points to the calendar’s owner to configure it first.

Booking rules and blocked dates

Each connected Calendly calendar has its own business hours, timezone, and blocked dates, set on its integration page in Allo. Booking rules control when the agent can use them:
  • Buffer between meetings: on by default, 30 minutes.
  • Respect business hours: on by default.
  • Advance notice: on by default, 2 hours minimum before a meeting can be booked.
  • Booking window: off by default. Turn it on to cap how far out callers can book, 60 days by default.
These settings apply to the calendar you connect. If a teammate connects their own Calendly account, they set their own hours and rules independently.

Troubleshooting

Check that an event type is selected in the agent’s calendar settings. Without one, Allo defaults to the first event type on your Calendly account.
You can only pick a teammate’s calendar once they’ve configured at least one event type on it. Ask them to set it up in Allo, or ask an admin or manager to configure it for them.
Only the person who connected a Calendly calendar can disconnect it in Allo. Ask them to disconnect it, or revoke access directly in Calendly.
